Privacy Policy
How we collect, use, store and protect your personal information when you interact with iCONI Agency.
1. Introduction
iCONI Agency ("we", "our", "us") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what we collect, why we collect it, how we use it, and what rights you have over it.
By using our website or submitting a form on it, you agree to the practices described in this policy. If you do not agree, please do not use the site.
2. Information We Collect
We only collect information you actively provide to us, or that is automatically generated when you use our website. We do not buy, sell or scrape personal data.
Information you provide directly
- Contact form submissions: your name, email address, phone number (optional), company name (optional), service interest, budget range (optional) and message.
- Job applications: your name, email address, phone number (optional), position applied for, years of experience, portfolio and social URLs, resume/CV file, and the message you write.
- Email or WhatsApp conversations: any information you choose to share when you contact us directly.
Information collected automatically
- Technical data: IP address, browser type, operating system, device type and screen resolution.
- Usage data: pages visited, time spent, referring URL, and interaction events — collected through analytics tools (see Section 5).
3. How We Use Your Information
We use the information you provide for these specific purposes:
- Responding to your enquiry and preparing a project proposal or quote.
- Processing job applications and communicating about your application status.
- Delivering the services you have asked for once a project begins.
- Improving our website, services and content based on aggregate usage data.
- Sending occasional updates if you have explicitly subscribed to our talent list or newsletter (you can unsubscribe at any time).
- Complying with legal obligations where required.
We do not use your personal information for automated decision-making, profiling, or targeted advertising.
4. Cookies & Tracking
Our website uses a minimal number of cookies and similar technologies. We do not use advertising or cross-site tracking cookies.
- Essential cookies: required for the site to function properly (e.g. remembering form state). These cannot be disabled.
- Analytics cookies: used to understand how visitors use the site — pages visited, time on site, general location. All data is aggregated and anonymised where possible.
You can block or delete cookies at any time through your browser settings. Blocking essential cookies may affect how parts of the site work.
5. Analytics
We use privacy-respecting analytics tools to understand how our website is used. These tools collect aggregated data such as:
- Number of visitors and page views.
- Traffic sources (search engines, social media, direct).
- General geographic region (country / city level, not precise location).
- Device and browser breakdown.
We do not combine this data with any personally identifiable information. We do not sell analytics data to third parties.
6. Third-Party Services
To operate our website and respond to enquiries, we rely on a small number of trusted third-party services. Each handles a specific function:
- FormSubmit (formsubmit.co): processes contact form and job application submissions and delivers them to our inbox. Your form data (including uploaded files for job applications) passes through their servers as part of delivery.
- Google Fonts: delivers the typography used on our site. Google may log the IP address from which fonts are requested.
- Web hosting provider: stores the website files and processes all HTTP requests. Server logs may include IP addresses for security and troubleshooting.
- WhatsApp (Meta): if you choose to contact us via WhatsApp, your message and phone number are processed by WhatsApp under their privacy policy.
- Google Search Console: helps us monitor how the website appears in Google Search. Only aggregated search data is visible to us.
7. Data Sharing
We do not sell, rent or trade your personal information to anyone. We will only share your information in these limited circumstances:
- With your explicit consent. For example, if you ask us to pass your details to a partner who might help with your project.
- With service providers that are essential to running the website (see Section 6). These providers only process your data as needed to deliver their service.
- When legally required — in response to a valid court order, subpoena, or other legal process. If this ever happens, we will inform you unless we are legally prevented from doing so.
8. Data Protection
We take reasonable technical and organisational measures to protect your information:
- All traffic to our website is encrypted using HTTPS / TLS.
- Access to enquiry and application data is restricted to team members who need it to respond or process.
- We use strong passwords, two-factor authentication where available, and follow basic security hygiene on all systems that touch user data.
- Form submissions are delivered to a single monitored inbox and are not stored on the public web server.
No method of transmission over the internet or electronic storage is 100% secure. While we take protecting your data seriously, we cannot guarantee absolute security — no one can.
9. Data Retention
We keep personal information only for as long as necessary:
- Contact enquiries: retained for up to 24 months to help with follow-up conversations, then deleted.
- Job applications: retained for up to 12 months. If we'd like to keep your CV on file for longer, we'll ask you first.
- Analytics data: retained in aggregate form only, with no personal identifiers.
10. Your Rights
Depending on where you live, you may have specific rights over your personal data. We honour these rights regardless of jurisdiction, and you can exercise them at any time by contacting us.
- Right to access: request a copy of the personal information we hold about you.
- Right to correction: ask us to fix any inaccurate or incomplete information.
- Right to deletion: ask us to delete your personal information, subject to any legal retention obligations.
- Right to restrict processing: ask us to stop using your information for certain purposes.
- Right to withdraw consent: if you subscribed to our talent list or newsletter, you can unsubscribe at any time.
- Right to data portability: request your data in a structured, machine-readable format.
To exercise any of these rights, email [email protected]. We'll respond within 30 days.
11. Children's Privacy
Our website and services are not directed at children under 16. We do not knowingly collect personal information from anyone under 16. If you believe we have inadvertently collected information from a child, please contact us and we will delete it promptly.

- The "Last updated" date at the top of this page will change.
- Material changes will be highlighted on the homepage for a short period.
- Continued use of the site after changes take effect constitutes acceptance of the updated policy.
